Manage users and their access to the Ask Sage platform

As an Administrator of an Enterprise Account, you have the ability to manage users and their access to the Ask Sage platform. This section covers how Administrators can effectively manage users and their access levels.

Accessing User Account Information

Finding a User

To look up a specific user in the User Management tab:

  1. Click the Email Filter text box
  2. Type the user's email address and press Enter or click Apply
  3. The user's profile row will appear, displaying their current account details

You can also filter the table by Organization using the All Organizations dropdown to view all users within a specific organization.

User Table Columns Reference

Each row in the User Management table includes the following information:

Column Definitions

Column Description
ID User's unique identifier on the tenant
ORG The organization the user is assigned to
Company Company name associated with the user's organization
First Name / Last Name User's registered name
Email User's registered email address
CAC Whether the user has a CAC/PIV card registered (Yes/No)
MFA Whether multi-factor authentication is enabled (Yes/No)
Type The user's privilege level:
SuperAdmin — full tenant access
Admin — manages their organization exclusively via the admin portal
User — no elevated privileges, cannot access admin portals
Plan The subscription plan the user is enrolled in
Paid Whether the user has access to paid features (Yes/No)
Banned Whether the user's login is blocked (Yes/No)
Verified Email verification status — only applies to tenants that require email verification
Max Inference Tokens The monthly inference token allocation assigned to the user
Max Embedding Tokens The training/embedding token allocation assigned to the user
Total Usage Total tokens consumed since the account was created (inference + training combined)
Monthly Inference Tokens Inference tokens used in the current month
Prev Month Inference Inference tokens used in the previous calendar month

Adding and Removing User Accounts

User Addition and Removal

Important: To add or remove users to the Enterprise Account, please send the list of registered email addresses to support@asksage.ai. Only Administrators of an Enterprise Account can request to add or remove users.

Activating and Disabling User Accounts

Prerequisite: If you are an Administrator of an Enterprise Account and do not have access, check that you have setup multi-factor authentication (MFA) for your account. This is a mandatory requirement for all admin users who will be managing the Enterprise Account.

User Activation Process

Open the three-dot menu to the left of any user and select Set as Paid to activate their account, or Ban User to block login access.

Understanding Paid Status:

  • False: User will not have access to paid features but will still be able to login
  • True: User will have access to the paid features of the Ask Sage platform
Automatic Token Assignment: When activating a user, the user is automatically assigned a default volume of tokens (for example, 200K or 500K tokens).

Reducing Access (Non-Paid Status)

To disable a user and reduce their access, click the **three vertical dots** () to the left of the user and select Remove Paid Status.

Completely Banning a User

To completely ban a user from the platform, click the **three vertical dots** () to the left of the user and select Ban User

Understanding Banned Status:

  • False: User will have access to the account
  • True: User will not have access to the account
Re-enabling Access: If tokens were assigned to the user, they can be reassigned to another user by Administrators. Subsequently, Administrators can re-enable access to the account by setting the Banned column to False and the Paid column to True.
Data Retention: User accounts cannot be completely deleted as all data needs to be retained for 3 years due to compliance regulations.

Each user row has a context menu accessible by clicking the three vertical dots () to the left of the user’s information. Available actions include:

Action Description
View Logs Opens the user's interaction and activity history
Set as Admin Promotes the user to Administrator role for their organization
Set as Paid Activates the user's account and grants access to paid features
Start Trial Starts a 30-day trial period — Paid status automatically reverts to No after 30 days. When users first create an account, they receive a 30-day free trial by default.
Remove Paid Status Revokes paid feature access without banning the account
Ban User Blocks login access entirely. Only SuperAdmins can unban admins.
Reset Password Generates a new temporary password for the user
Reset CAC Removes the CAC/PIV card linked to the account
Reset MFA Removes all registered MFA devices from the account
Assign to Org Moves the user to a different organization
Remove from Org De-assigns the user from their current organization without deleting their account
Verify Email Force-verifies a user's email if they did not receive the verification code (e.g., blocked by spam filter)
